INTRODUCTION:

 

The Financial Aid Office at the University of Wisconsin-Whitewater seeks an Administrative Assistant II (AD002). 

 

JOB DUTIES:

 

The Administrative Assistant II provides customer service to students and families in-person, over the telephone, and via email. This position also is responsible for word processing, file management, and document processing for the Financial Aid Office (FAO), including the imaging of incoming documents. Assists in the administration of the university's Satisfactory Academic Progress (SAP) Program, Federal Parent (PLUS) Loans and Private/Alternative Loans, as well as processing for other programs. 

 

Job Duties:

A. Provide customer service to students, families, and others.

  1.  Maintain knowledge of various aspects of financial aid, including reading policy and procedures, attending workshops, and consulting with financial aid staff, campus staff, and outside agencies for assistance and clarification.
  2. Manage the FAO's general email account. Respond to emails or forward to the appropriate administrator as needed within 48 hours of receipt.
  3. Assist with covering the office's front desk reception, handling walk-in and scheduled-appointment foot traffic.
  4. Assist with answering telephone inquiries from students, parents, and internal and external entities. This includes logging in to the office's multiline-queue phone system to receive calls.

B. Oversee communication generation, including processes within the financial aid module of the PeopleSoft student information system.

  1.  Generate student notices using established merge processes.
  2. Work with the FAO IT Business Analyst in development of the communication generator (Comm Gen) process in PeopleSoft.
  3. Supervise student assistants in the preparation and mailing of financial aid award notices and other correspondence, including missing information and revision letters.
  4. Assist in the execution of large mailings by scheduling program runs and coordinating with the campus mail center to ensure for timely and accurate mail distribution.
  5. Assist staff members in the creation and updating of report and letter templates as dictated by changes in state and federal laws. Maintain an up-to-date list of templates.  
  6. Keep inventory of supplies necessary for the continual operation of word processing, i.e., letterhead paper, envelopes, printing supplies, etc., and coordinate duplicating requests for the office. 
  7. Maintain knowledge of word processing available and pertinent to the office's operations.

C. In conjunction with Financial Aid Officer(s), assist with the Satisfactory Academic Progress (SAP) Program and Loan Programs.

  1. Identify and notify students of SAP warnings and ineligibility, including an explanation of the SAP policy. 
  2. Accept and process SAP appeal paperwork from students. If a SAP appeal is denied, notify the student and revise aid as needed.
  3. Update and maintain electronic SAP-related communications, as well as, SAP panels in PeopleSoft.
  4. Process and track SAP Contracts, Academic Plans, etc. Evaluate students' meeting the terms of their contracts/plans at the end of each term.
  5. Assist with the processing of Federal Parent (PLUS) Loans and Private/Alternative Loans. This includes pulling Parent PLUS and Private/Alternative Loan application information into PeopleSoft and tying a loan to the corresponding student record. 
  6. Manage the flow of SAP and loan program documentation in ImageNow. 

D. Management of ImageNow, document imaging system, for the Financial Aid Office.

  1. Coordinate and supervise imaging and document flow of incoming documents pertinent to each financial aid recipient's records in compliance with federal law. 
  2. Formulate and implement procedures for the handling of all forms, revising procedures as necessary based on federal, state, or office policy. 
  3. Manage the distribution/workflow of documents to the appropriate queue or administrator. 
  4. Administer the destruction of records that are no longer active in compliance with federal law. 
  5. Process the document checklist (WWFA Scan) report.
  6. Maintain interface between PeopleSoft and ImageNow during upgrades of either system.

E. Performance of miscellaneous related tasks.

  1. Maintain technical skills in Microsoft Office, PeopleSoft, and ImageNow. 
  2. Consult with the FAO IT Business Analyst concerning operations, programming, and reports, including the resolution of production-related problems.
  3. Attend staff meetings, workshops, and teleconferences as directed.  
  4. Generate daily reports to be utilized by staff for processing.
  5. Assist with the administration of various aid programs, including remissions and waivers.
  6. Prioritize and perform other related duties as assigned by the Director, Associate Director, or as requested by other staff members.

 

QUALIFICATIONS:

 

Minimum Qualifications:

  • Associate degree or three years of administrative experience in an office environment.

Desired Qualifications:

  • Familiarity with student information systems, particularly PeopleSoft.
  • Experience with the PeopleSoft communications generator (Comm Gen) process.
  • Experience with document imaging systems and related processes, particularly ImageNow.
  • Knowledge of financial aid processes, procedures, and policies.

Knowledge, Skills, and Abilities:

  • Effective customer service and oral/written communication skills.
  • Excellent organizational skills and the ability to prioritize multiple tasks.
  • Ability to exercise considerable independent judgment and exhibit exceptional attention to detail.
  • Proficiency with Microsoft Office (Word and Excel).
  • Demonstrate the ability to direct the activities of and train student staff.
  • Ability to interact respectfully and work collaboratively with people from diverse socioeconomic, cultural, and ethnic backgrounds, including students, parents, staff, and faculty.
  • Willingness and ability to be an active participant in following applicable safety rules and regulations, including necessary training and drills.
